The academic personnel (AP) analyst manages all academic personnel processes for Senate faculty, including merit, promotion, and review actions; sabbatical and leave requests; joint, split and new appointments; faculty data management for advancements; sabbatical credits; and visa/permanent resident departmental processing for visitors and other academics. The AP analyst also works closely with the Vice Chair of Undergraduate Affairs to process all paperwork, actions, and offers for Lecturers (Unit 18) in Anthropology. The role is also responsible for any items related to OATS (Outside Activities Tracking System), Opus, Interfolio, and UC Recruit.

The chief administrative officer (CAO) manages all administrative services in relation to the department’s staffing, teaching, programs, and space and is responsible for planning and policy development, budgetary control, oversight of departmental projects and initiatives, and selection and supervision of personnel.

The front office coordinator (FOC) is responsible for the scheduling of department-controlled instructional equipment, seminar and conference room space and coordinates parking for faculty, staff and students, and can make temporary parking reservations for visitors. The FOC coordinates travel for faculty recruitment and for guest speakers and processes procurement, reimbursement, payment, and travel requests for the department (including faculty, postdocs, students, staff, and guests). The role is also the main Facilities contact and can put in work orders for faculty, staff, and student needs (with oversight from CAO) related to painting/maintenance/electrical/plumbing. The FOC also manages the UCLA directory listings for the department, assigns copy codes for graduate printing accounts and manages department keys.

The fund manager oversees the financial accounting for the department, including faculty, grant, postdoc, student, operational, and gift funds and administers financial reporting and record-keeping systems. The fund manager routinely provides faculty with current information about their account activity and balances and ensures compliance with university financial policies and procedures. The fund manager assists graduate students in submission of NSF dissertation proposals and other UC funded grants or external fellowships required to be processed through UCLA by working with the Office of Contracts and Grants.

The graduate advisor counsels graduate students on university and departmental requirements for the Ph.D. program and coordinates admissions and orientation, monitors student progress to degree, and manages graduate student support allocations. The role works closely with the Vice Chair for Graduate Studies to make quarterly assignments for teaching assistants and works with departmental faculty on both the Admissions Committee and the Awards Committee. The graduate advisor is the first point of contact for all inquiries related to graduate students and the PhD program in Anthropology.

The staff and academic payroll coordinator is responsible for processing employment and all payroll actions for faculty, lecturers, staff (career, limited, and casual), teaching assistants, readers, and graduate student researchers through UCPath. The payroll coordinator advises faculty, and other departmental personnel on best practices and policies for all matters related to hiring, conditions of employment, payroll, and benefits and maintains payroll records/databases for all appointments. This role is the first point of contact for any questions surrounding pay, timesheets/TRS, UCPath, benefits, workers compensation, job descriptions, visa administration for Visiting Graduate Researchers (VGRs), and FMLA, PDL, PFCB, and other related leave administration for all non-faculty roles.

The technology analyst provides computer hardware and software support and repair for Anthropology faculty, staff, and graduate students. Additionally, see them for help with email, websites, networks, and printing. The technology analyst also purchases computers, electronics, and software, and assists with UCLA-wide computing issues.

The undergraduate advisor counsels our approximately 600 current and prospective Anthropology major and minor students. The undergraduate advisor handles grade changes, academic revisions, processes petitions, and refers students to other University resources. The undergraduate advisor represents the department at Major Blast, Freshmen Bruin Day, Transfer Bruin Day, and other campus events, and coordinates the Anthropology commencement ceremony in June. The undergraduate advisor also serves as the departmental scheduler and works closely with the Vice Chair of Undergraduate Education to coordinate the course schedule and classroom assignments for the department of Anthropology.
